Contractor invoice template

Independent contractors are paid against invoices, not payroll, so the invoice is what the client's accounts team approves and what both of you reconcile at tax time. This template bills time and expenses separately, the way most clients want to see them.

Quick answer

Contractor invoice template: what it is

An invoice is the request for payment you send after supplying goods or services. It records what was supplied, at what price and tax, and when payment is due. For independent contractors: hours or milestones, plus expenses.

Example: a filled contractor invoice

Filled example invoice from Reyes Field Engineering to Brightwater Utilities Inc., with numbered notes on what goes where.
  1. The title says what the document is: an invoice.
  2. A unique number from a continuous series, allocated when you issue it.
  3. Your business name and address, and tax number if registered.
  4. Who it is for.
  5. Each line: description, quantity, rate and amount.
  6. Tax by rate.
  7. The total in the document's currency and format.
The example in the editor above, drawn as the finished invoice. Numbers mark what each part is for.

Worked example: the numbers behind the invoice above

ItemQtyRateAmountTax
Field engineering services, 1 to 30 September (PO 4471)62$95.00$5,890.00$0.00
Reimbursable: mileage to client sites, 284 miles at the contract rate284$0.70$198.80$0.00
Reimbursable: survey equipment rental, receipt attached1$145.00$145.00$0.00
Subtotal$6,233.80$0.00
Total$6,233.80

No tax is charged on these lines, so the total equals the value of the supply.

How to fill in the contractor invoice

  1. Enter your business name, or your own name as it appears on your W-9.
  2. Bill hours or milestones on separate lines, with the period worked.
  3. Add reimbursable expenses at cost, each on its own line.
  4. Save it, then sign in to issue it and record the payment when it arrives.

What a contractor invoice should show

  • Your name or business name, address and email
  • The client company and the person or department that approves invoices
  • Contract, statement of work or purchase order number
  • The period covered, for example 1 to 30 September
  • Hours with the hourly rate, or the milestone and its agreed fee
  • Reimbursable expenses as separate lines
  • Payment terms and how to pay you

Getting paid on time by larger clients

Corporate clients pay through an approval chain. Invoices that quote the purchase order number and match the contract rate go straight through; anything that does not is set aside. Ask at the start who approves invoices and what reference they need.

Net 30 is the usual term for contractors billing companies. Invoice the day a milestone is accepted or at month end, not weeks later: the payment clock only starts when the invoice arrives.

What to put on an invoice, field by field

FieldWhat to enter
Document titleSay exactly what it is: "Invoice". The title tells the buyer and the tax authority how to treat it.
Number and dateA unique number in a continuous series and the issue date. LuckPanda allocates the number when you issue.
Your businessName, address, and tax ID if your state or client needs it
CustomerName, address, and tax ID if your state or client needs it
LinesDescription, quantity, unit and rate. Each line carries its own tax rate.
TaxSales tax where you must collect it, at the rate for the delivery address.
TotalsTaxable value, tax by component and the total, in the document currency. Amounts in words are customary in India.
TermsDue date, bank or payment details and late-payment terms.

United States rules for an invoice

  • There is no federal invoice format. Include what your client's accounts payable needs to pay: your legal name, invoice number and date, what was supplied, amounts, due date and payment instructions.
  • Sales tax is set by each state. Charge it only where you have nexus (a physical presence or, since 2018, economic nexus by sales volume) and the item is taxable; most services are exempt in many states.
  • A business that pays a contractor $2,000 or more in a year (the threshold rose from $600 for payments made from 2026) reports it on Form 1099-NEC, so expect your client to ask for a W-9.

Mistakes to avoid

  • Editing or deleting an issued invoice instead of issuing a credit note.
  • Gaps or duplicates in the number series.
  • Charging the wrong tax type (for India: IGST on an intra-state sale, or CGST and SGST across states).
  • Leaving out the due date and payment details, which is the commonest reason invoices are paid late.
  • Rounding each line's tax differently from the total; LuckPanda computes tax per line and keeps the components adding up.

Questions people ask

Do I need to give my client a W-9?

US clients usually ask for Form W-9 before the first payment so they have your taxpayer ID. The ID does not need to appear on the invoice itself.

Will my client send me a 1099?

Businesses file Form 1099-NEC for contractors they pay above the IRS threshold in a calendar year: $600 for payments through 2025 and $2,000 from 2026. Report all your income either way.

Should I charge sales tax as a contractor?

Most states do not tax professional services, but some tax specific services and most tax goods you supply. Check your state's rules before adding tax.

Can I bill expenses?

Yes, if the contract allows it. Bill them at cost with receipts, or with an agreed markup stated in the contract.
