Rental invoice template

A rental invoice bills for time with something you still own, so it has to pin down which item went out, when it left and when it came back. This one is set up for equipment hire; the same layout works for monthly rent on a unit or a storage space.

Quick answer

What should a rental invoice include?

A rental invoice bills a customer for the use of something you still own. It identifies each item or property, the rental period with out and return dates, the rate basis (hourly, daily, weekly, 4-week or monthly), extra charges such as delivery, fuel, damage waiver or late return, any deposit and deductions from it, tax where it applies, and the total due with the payment terms.

  • Name each item by model and serial or fleet number, or the property by unit and address.
  • State the rate basis on every line so the customer can check the period charged.
  • A refundable deposit is not a charge: note it, and bill only what you keep, with the reason.
  • Tax depends on what is rented and where: equipment rentals are taxable in most US states; residential rent usually is not.

What a rental invoice is for

A sale invoice transfers something for good. A rental invoice charges for time with something that comes back to you: an excavator, a scissor lift, a party tent, a car, an apartment, a shop unit. So the invoice has to pin down three things a sale invoice does not: exactly which item went out, for how long, and in what condition it came back.

Rental typeUsually billedWhat the invoice must show
Equipment and tool hireAfter return, or every 4 weeks on long hiresFleet or serial number, out and back date and time, meter readings, rate basis

How to fill in this rental invoice template

  1. Add your company and the customerEnter your business details and the customer, with their account, job or PO number in the notes.
  2. Describe each item and periodOne line per item: model and fleet or serial number, out and return dates and times, and the rate basis. For property, the unit and the rent period.
  3. Bill at the right rateUse the cheapest combination of daily, weekly and 4-week rates, or the monthly rent, prorated if the period is partial. Add delivery, fuel, cleaning and damage waiver on their own lines.
  4. Set tax per lineApply your state or local rate to the taxable lines only. In the UK add VAT at 20% to equipment hire, or to commercial rent if you have opted to tax; in India apply GST at 18% to commercial rent.
  5. Record the deposit and termsNote the deposit taken and released in the notes, and the late-return and damage terms in the terms field.
  6. Sign in to issueSign in to number the invoice, keep it on the customer's account and record the payment; monthly rent can be set up as a recurring invoice. Issuing and sending need the Sales module.

Example: a week's excavator hire

Ironwood Equipment Rentals in Tulsa rents a 3.5-tonne compact excavator to Prairie Edge Excavating for a job that runs from Tuesday 6 October to Monday 12 October, with a hydraulic breaker on two of those days. The machine goes out on a delivery truck and comes back with the hour meter 39.5 hours higher and the tank 9 gallons down.

Example equipment rental invoice from Ironwood Equipment Rentals, Tulsa, to Prairie Edge Excavating LLC under rental agreement RA-20931: compact excavator at the weekly rate, hydraulic breaker for two days, delivery and pickup, 12% damage waiver and diesel refill, total $2,313.25, with deposit and late-return notes.
  1. Rental agreement number: the contract that sets the rates, damage terms and return date.
  2. Customer and, in the meta block, their PO or job number so their accounts team can approve it.
  3. Out and return date and time, and meter readings for machines billed on use.
  4. Each item by fleet or serial number with its rate basis: weekly for the excavator, daily for the breaker.
  5. Total of the rental and the extras (delivery, damage waiver, fuel), each on its own line so tax can be set per line where your state taxes them.
  6. Deposit and condition: what was taken, what was released, and the late-return rule.
An equipment rental invoice. The rental period, meter readings and deposit are on the face of the invoice so the customer can check every charge. The numbers match the worked example below.

The numbers: invoice IER-2026-1187

ItemQtyRateAmountTax
Compact excavator 3.5 t, fleet no. EX-114, out 6 Oct 07:00, back 12 Oct 16:30, weekly rate1$1,450.00$1,450.00$0.00
Hydraulic breaker attachment, daily rate, 8 and 9 October2$175.00$350.00$0.00
Delivery and pickup, round trip1$250.00$250.00$0.00

Diesel to refill on return, per gallon9$5.25$47.25$0.00
Subtotal$2,313.25$0.00
Total$2,313.25

The customer owes $2,313.25. The excavator was out for seven rental days, and the weekly rate ($1,450.00) is far cheaper than seven daily charges ($2,975.00). Oklahoma taxes equipment rentals, so in practice you set your combined state and local rate on the taxable lines; a separately stated optional damage waiver is not part of the taxable rental charge in Oklahoma.

Daily, weekly and 4-week rates, and how to prorate

Equipment rental companies publish a daily, a weekly and a 4-week (28-day) rate. A week usually costs three to four days and four weeks two and a half to three weeks. The fair way to bill, and what most rental agreements promise, is the cheapest combination of rates for the time the item was out. Using the excavator's rates of $425.00 a day, $1,450.00 a week and $3,900.00 for four weeks:

Days outCombinationsCharged
33 days = $1,275.00; 1 week = $1,450.00$1,275.00
77 days = $2,975.00; 1 week = $1,450.00$1,450.00
101 week + 3 days = $2,725.00; 2 weeks = $2,900.00$2,725.00
121 week + 5 days = $3,575.00; 2 weeks = $2,900.00$2,900.00
203 weeks = $4,350.00; 4 weeks = $3,900.00$3,900.00

Define a rental day in the agreement: most companies count 24 hours from pickup, or a calendar day with a return deadline, and many do not charge weekends on daily hires. Machines may also carry an hours cap (commonly 8 hours a day, 40 a week) with overtime billed per meter hour; the meter readings on the invoice prove it.

Prorating monthly rent

When a tenancy or a long hire starts mid-month, the first invoice charges a part month. There is no single legal method; the lease should say which one applies. For $2,400.00 a month and a move-in on 12 October (20 days of October including the 12th):

MethodDaily rateRent for 20 days
Actual days in the month (31)$2,400.00 ÷ 31$1,548.39
Banker's month (30 days)$2,400.00 ÷ 30 = $80.00$1,600.00
Annual rent ÷ 365$28,800.00 ÷ 365$1,578.08

Whichever you choose, show the calculation in the line description ("Rent 12 to 31 October, 20/31 of $2,400.00") so the tenant can check it, and use the same method at move-out.

Deposits, damage, late returns and other charges

  • Security deposit. A refundable deposit is the customer's money held as security, not income, so it does not go on the invoice as a charge. Record it in the notes ("$500 deposit taken on card at pickup"). If you keep part of it, bill the amount kept as its own line with the reason and attach the evidence: photos, repair invoice, cleaning time.
  • Damage. Bill repairs at the cost or rate the agreement sets, as a separate line ("Replace cracked bucket tooth, parts and 1.5 hours labor"). If the customer bought a damage waiver, it usually covers accidental damage up to a limit but not misuse, theft or tires and glass; say which applies.
  • Damage waiver. An optional charge, typically 10 to 15% of the rental, that limits the customer's liability for accidental damage. It is not insurance. Its tax treatment differs by state (below).
  • Late return. Charge the extra time at the rate the agreement sets, usually the daily rate until the item is back, and show the actual return date and time.
  • Delivery and pickup, fuel, cleaning. Each on its own line. Fuel is usually billed per gallon or liter to refill, at a rate above the pump price to cover the service.
  • Loss. If an item is not returned, bill its replacement value as set in the agreement, net of any rent already paid if the agreement says so.

Part of a deposit kept: party rental with breakage

ItemQtyRateAmountTax
Deduction from $300.00 deposit: 6 broken wine glasses, replacement cost per glass6$4.50$27.00$0.00
Deduction from deposit: extra cleaning of linen, red wine stains, per tablecloth4$12.00$48.00$0.00
Subtotal$75.00$0.00
Total$75.00

The customer is charged $75.00 for breakage and cleaning, taken from the $300.00 deposit; the remaining $225.00 is refunded. The invoice shows the deduction, the reason and the refund, so the customer sees exactly where the deposit went.

Sales tax on equipment rentals in the US

Most states with a sales tax treat a rental of tangible goods as a sale and tax every payment. The differences are in the details: whether delivery and damage waivers are taxed, whether an operator turns the rental into a service, and whether a city adds its own rental tax.

StateRental chargeDamage waiverDeliveryWith operator
OklahomaTaxableOptional waiver not taxable if separately statedCheck with the Tax CommissionTreated as a service, not taxable
TexasTaxable, including all charges in the lease unless separately stated and nontaxableTaxable; charges for items destroyed or lost are notTaxable when billed by the lessorGenerally treated as a service
CaliforniaTaxable as a sale; late charges are not part of the rentalMandatory waiver taxable; optional, separately stated charges unrelated to the rental are notDepends on how it is billedDepends on the arrangement
IllinoisTaxable from 1 January 2025: the lessor collects sales tax on each paymentFollow IDOR guidanceFollow IDOR guidanceFollow IDOR guidance

Illinois is the recent change: until 2024 the lessor paid use tax when it bought the equipment and charged no tax on the rental; since 1 January 2025 a lease of tangible personal property is a retail sale, sourced to where the item is located. In Chicago, rentals subject to the city's Personal Property Lease Transaction Tax are exempt from the state tax instead.

Texas: the same hire at a combined 8.25% rate, on every lessor charge

ItemQtyRateAmountTax
Compact excavator, weekly rate1$1,450.00$1,450.00$119.63
Hydraulic breaker, daily rate2$175.00$350.00$28.88

Subtotal$2,266.00
Tax 8.25%$186.96
Total$2,452.96

In Texas the rental, the delivery billed by the lessor and the damage waiver are all taxable, so tax of $186.96 is charged on $2,266.00 (worked out line by line). A charge for a lost or destroyed item would be billed without tax.

Rent invoices for residential and commercial property

Landlords often do not need an invoice at all: the lease fixes the rent and the tenant pays on the due date. Invoices become useful when the amount changes (utilities, service charges, part months), when a business tenant needs one for its accounts, and wherever rent carries VAT or GST.

  • Show the period ("Rent for November 2026") and the unit or premises, not just "rent".
  • Separate rent from recoverable charges: water, trash, common-area maintenance, parking, each on its own line.
  • Late fees only as the lease and state law allow; many states cap them.
  • Proof of payment: an invoice asks for payment; once the tenant pays, issue a rent receipt.

Sales tax on rent in the US

Long-term residential rent is not subject to sales tax in any state, and Arizona cities have been barred from levying their transaction privilege tax on residential rentals since 1 January 2025 (commercial rentals remain taxable in many Arizona cities). Florida, long the only state with a statewide sales tax on commercial rent, repealed it with effect from 1 October 2025; rent for periods through September 2025 stays taxable even if paid later. Short stays, parking and storage are often taxed differently from leases, so check them separately.

UK VAT and India GST on rentals

United Kingdom

Equipment and vehicle hire is standard-rated at 20% when the hirer is VAT-registered. Residential rent is exempt. Commercial property rent is exempt by default, but the landlord can opt to tax the building (VAT Notice 742A), after which rent is standard-rated and the landlord can recover VAT on its costs. The option cannot apply to dwellings. A landlord who has opted to tax must issue VAT invoices for the rent; parking, storage and hotel accommodation are normally standard-rated whatever the option.

India

  • Commercial property (SAC 997212): GST at 18%, charged by a registered landlord. The place of supply is where the property is, so a landlord and tenant in the same state charge CGST and SGST.
  • Unregistered landlord, registered tenant: since 10 October 2024 the tenant pays GST on renting of commercial immovable property under reverse charge (Notification 09/2024-CT(Rate)); since 16 January 2025 tenants under the composition scheme are excluded (Notification 07/2025-CT(Rate)).
  • Residential dwelling used as a residence: exempt, except when rented to a GST-registered person, who pays 18% under reverse charge (from 18 July 2022). A proprietor renting in a personal capacity for their own residence is not caught (from 1 January 2023).
  • Equipment rental without an operator (heading 9973) is taxed at the same rate as a sale of the same goods, so it follows the post-22 September 2025 rate of the machine.

Both landlord and property are in Karnataka, so GST is split into CGST and SGST: ₹17,010 on ₹94,500, a total of ₹1,11,510. The tenant may deduct TDS on rent under the Income-tax Act if its rent payments cross the threshold; the invoice is for the full amount.

Mistakes to avoid

  • No return date and time. Without it, the customer can dispute every day charged.
  • Billing the deposit as income, or keeping part of it without a line and a reason.
  • Charging seven daily rates when a weekly rate is cheaper, if your agreement promises the best rate.
  • Folding delivery and damage waiver into the rental line. Their tax treatment can differ, so keep them separate.
  • Charging sales tax on residential rent, or forgetting tax on equipment rentals in states that tax them.
  • A prorated month with no working shown. Put the days and the method in the description.
  • India: charging GST as an unregistered landlord, or a registered tenant missing its reverse-charge liability.

Questions people ask

How do daily, weekly and monthly rental rates work?

Most rental companies price a week at three to four daily rates and a 4-week month at two and a half to three weekly rates, then charge whichever combination is cheapest for the time the item was out. State the rate basis on each line so the customer can check it.

Is sales tax charged on equipment rentals?

In most states with a sales tax, renting tangible goods is taxable at the same rate as selling them, and some states and cities add a separate rental tax on top. Delivery and damage waiver can be taxable too. Check your state before you set the rate.

Should the security deposit go on the invoice?

A refundable deposit is not income while you hold it, so record it in the notes rather than as a charge. If you keep part of it for damage or cleaning, bill that amount as its own line with the reason.

Can I use this for property rent?

Yes. Put the unit and the rent period on the line, and add service charges or utilities on their own lines. For a tenant who wants proof of payment, issue a rent receipt once the money arrives.

How do I calculate prorated rent?

Divide the monthly rent by the days in that month (or by 30, or annual rent by 365, if the lease says so) and multiply by the days occupied. For $2,400.00 and 20 days of a 31-day month, that is $1,548.39. Show the method on the invoice.

Is a damage waiver the same as insurance?

No. It is the rental company agreeing not to charge the customer for accidental damage, up to the limits in the agreement, in return for a fee. It does not cover misuse or theft unless the agreement says so, and some states tax it.

What happens if equipment is returned late?

The extra time is billed at the rate in the rental agreement, usually the daily rate until the item is back. Show the agreed and actual return dates on the invoice.

Do I charge VAT on commercial rent in the UK?

Only if you have opted to tax the property. Commercial rent is exempt by default; after an option to tax it is standard-rated at 20%. Residential rent is always exempt.

Who pays GST on rent of commercial property in India?

A registered landlord charges 18% GST. If the landlord is unregistered and the tenant is registered (and not under composition), the tenant pays the GST under reverse charge.

What is the difference between a rent invoice and a rent receipt?

An invoice asks for payment of rent for a period; a receipt confirms that rent was paid. Tenants claiming house rent allowance in India need receipts, not invoices.
